They’re the clients you love to work with because they pay on time,compliment your work and amplify the creative energy. There’s just one problem: They also take a ton of your time, turning what should be a quick phone call into an epic discussion, sending multiple emails when one would suffice or requiring multiple explanations every time something new arises.
The adage “You teach people how to treat you” isn’t just for families and friends. It’s also for clients. If you want clients to have stronger respect for the boundaries of time, you must set the tone for the relationship. Here’s how to impose stricter limits with clients in the following scenarios:

1. The "quick chat” always turns into a lengthy call.
Set boundaries for the start and end times. When scheduling a call, let the client know that you’ll have another appointment right after hers. Then about 10 minutes before that next appointment, say, “We have about 10 minutes remaining before I have another call. Why don’t we focus on X before we wrap up?”
Some clients might not actually realize that they’re going on and on, and these audio cues will help you end the call on time. If there some agenda items don't get addressed on the call, offer to follow up via email.
2. It takes multiple emails to get one little thing done.
Be thorough in the emails you send. With every email, consider adopting the framework that public speakers use: Tell the client what you’re going to say, say it and tell him what you said. For example try this: “This email will cover the options that you wanted me to research for October’s awards gala and I believe that options 3 and 7 are the best. The options are [list them out]. I believe that options 3 and 7 are the best for October’s Awards Gala.”
If you type out “October” and “awards gala” as full words without abbreviations, you’ll improve your client’s ability to search his inbox for an email. That may mean that she won’t email you later to ask a question that you’ve already answered.

3. A client is disorganized and needs things sent over -- again.
Be extra organized from the get-go. Sometimes clients need their consultants to help them with organization. This can happen particularly with email, when a client quickly scans a list of items and misses something important, which she then feels the need to ask you about later.
Try focusing each email on just one subject at a time. For instance, send one email about “Friday’s appointment time.” Dispatch a separate email about “new budget projections.”

On the verge of its IPO, file-sharing company Box has mastered the art of predictive analytics to ensure customers are using the platform properly. Through its various monitoring systems, Box learned that their system of evaluating the number of customer users then projecting a price for that company was not working efficiently.

Through real-time feedback, the Box product team realized more customers wanted to consume Box “on more of a usage basis.” This product adjustment would not have been possible had its team not been closely monitored what customers wanted in real time.
4. Prioritize customers by knowing who needs your immediate attention.
Rapidly growing grocery-delivery service Instacart knows how to draw customers in -- and keep them. It sends well-timed text messages and emails, updating users on the status of their delivery. After users receive their groceries, Instacart asks you to rate your experience between 1 and 5. Instacart follows up with a personalized email to every user who gives below a “5” and responds within 10 minutes to any concerns.
One recent study claimed 42 percent of consumers complaining on social media expect a response within 60 minutes. When you are managing multiple accounts, you need to know which customers need your attention so you can distribute your time and resources efficiently.
Every customer success team should have a system that evaluates both self-reported feedback and contextual customer actions to create a prioritized list of customers who require follow up. Ultimately, that list will include the users who are at risk and need your help as well as those who are most engaged and ready to get to the next level.
5. Don't limit yourself to large corporations.
McKinsey reports that 70 percent of buying experiences are based on how the customer feels they are being treated. This means that investing in lower revenue accounts can be valuable: a customer’s value grows based on their experience.
Today’s winning companies serve a wide range of customers, from small and mid-size businesses to large enterprises, and cannot afford to view customer success through the traditional low- and high-touch account-management lens. While it’s easy to blame clients for confusions and misunderstandings (“Why don’t they get it when I’m being so clear?”), it’s possible that your explanations aren’t as clear as you think they are. Invest the time in creating how-to documents that cover the basics that a client would need to know when working with you. Chances are good that they can be adapted for use with multiple clients.
Finally, it’s becoming more commonplace to talk via Skype or Google Hangouts. Even record these type of calls and deliver a copy to the client afterward for her to reference.
5. The client wants “just one more thing."
Determine your limit for the deliverables to be rendered and after receiving a request for more than that, offer to submit an additional proposal with a budget. It’s a best practice to overdeliver for clients, but this can quickly turn into a client’s constant requests for little extras that go far beyond the terms of the initial project agreement. As a first step, clarify what would feel good for you to give to clients because giving clients your best is part of providing great service in business.
Then as a second measure, if a client makes multiple requests beyond the scope of the project, indicate that this is what's happened and offer to send a proposal or quote for additional work.
The final step? If you haven't been charging for all these little extras, be prepared to explain why you’re going to start charging.
When time feels like a vortex with some clients, you can easily feel overwhelmed and frustrated by having your attention drawn away from other aspects of your business or deserving clients. Face the fear of speaking up by taking total responsibility for setting forth effective client boundaries from the beginning of every relationship.
While it might feel intimidating for you to enact these boundaries, any client who is a professional will understand that you’re doing only what’s in service of arriving at the best possible way to work together.

Clients who constantly expect freebies are freeloaders. While there's the fear that they’ll go elsewhere if the freebies stop being offered, the truth is that if they do leave, you’ll have more energy and time to devote to securing clients who don’t expect constant kickbacks.

3. Don't undercharge to undercut the competition.
The era of Walmart-style competition is flagging. Customers are more savvy than ever before and they understand that saving a little money on the front end only to receive poor service or a shoddy product later isn’t worth their time (or money).
If a client tries to enlist you in a bidding war on a proposal or spreads the fear of possibly not paying and you then send a last-minute coupon to your subscriber list, rethink your strategy. You’re essentially teaching your customers to associate your brand with discounts. This means you are poking at your company's pricing or teaching them to wait to buy until something goes on sale.
Instead, examine every aspect of your sales operation, from the website to the fulfillment process and from the sales team to the creative team. Ask yourself what cost-effective ways can make the process excellent for customers. Have people on your team make your clients feel truly cared for.
It's said, “They won’t remember what you did, but they’ll always remember how you made them feel.”
The biggest issue with always trying to convince customers to do business with you is that it just doesn’t feel good. It not only hits your bottom line but also saps your energy and makes the work less fun. If you give your customers a self-service portal, you can see for yourself which articles are being read most often. From there you can see if your instructions are confusing or if the feature itself doesn’t work or isn’t as intuitive as you’d like for it to be.
Dig deep into product feedback. Your support cases contain a wealth of information if you use them right. If you categorize your cases correctly, you can see what modifications and features customers would like to see in your product or what the biggest pain points are.
We recently discovered that our categorizations were really out of whack. Almost 60 percent of our feedback was lumped into one very broad category (“Education”), so the insights that we were getting weren’t all that valuable. We did some spring cleaning and created new, more granular categories so we could dig deep into specific feature requests.
Share results with everyone. Many successful startups make it a practice to host weekly or bi-weekly meetings to keep all of their employees aligned and connected. This is especially important for companies that are spread out geographically.
The support team has a standing role at these meetings, sharing trends, feedback on new features and anything of note that they hear. They should put together a "Voice of the Customer" presentation each quarter that summarizes their insights. This keeps everyone at the company -- even accounting, HR and legal -- aligned around customers and working together to take their product beyond the minimum.
When we talk about a most valuable product, it’s important to remember that it’s not just about the product team. Your customer-support team is a critical part of the innovation cycle. Yes, they should find new ways to provide great service, but they should also be innovating ways to get more insights to help drive improvements in your product.
